Responsibilities*

Project Management/Continuous Improvement:

  • Leads technology focused project efforts related to supporting Facilities Operations.

  • Routinely reviews Maximo CMMS system for operational efficiency opportunities by performing system queries and generating reports.

  • Works closely with Applications team on associated projects and to streamline Maximo functionality for the end user.

  • Takes feedback from end users and edits asset details, job plan guidelines, and work routing as necessary.

  • Identifies need for and/or is assigned functional/administrative project oversight and execution.

  • Perpetually strives to improve the work capture, distribution, and completion processes.

  • Perform root cause analysis on scheduling delays, equipment downtime, and scope changes.

  • Analyze system data to optimize team performance and procurement opportunities.

  • Routinely partners with Facilities Planning & Development leaders related to major project turnover and related asset management across all of Michigan Medicine.

Work Coordination:

  • Evaluates skillset and materials requirements to complete specific maintenance and project related tasks.

  • Plans and schedules work with the appropriate level of detail for field staff comprehension of assignment.

  • Generates preventive maintenance work orders for shops included in the PM program.

  • Participates in planning activities such as scope definition, scheduling, coordination, risk assessment, execution, and continuous improvement.

  • Assist in the location, survey, inspection, and identification of new and existing mechanical, electrical, and plumbing assets & systems.

  • Communicates routinely with leadership, procurement, project management, field staff, and contractors as necessary to coordinate work.

  • Works to compile information into job packages that are ready to be completed by Skilled Trades and AFSCME team members.

  • Works to minimize backlogged maintenance work orders and prioritizes based upon the established criteria.

  • Ensures that Maximo work orders have appropriate notes added, materials listed, and time applied by field staff upon completion.

  • Conducts field verification of work completion when possible.

Ancillary Project Support:

  • Works closely with Facility Operations Managers (5), Facility Managers (4), and other project leaders (4+) to assist with shutdown and mechanical system project coordination.

  • Facilitates routine scheduling/planning/coordination meetings.

  • Routinely reviews the "Shutdowns" board and engages point people to support forthcoming maintenance and project needs.

  • Routinely reviews the "Active Huddle" board for awareness of current areas of focus for the team.

Safety:

  • Assess maintenance job plans and work instructions with safety in mind.

  • Applies safety related knowledge to projects & planning/scheduling processes.

  • Routinely participates in safety committee discussions/field activities.

  • Works closely with Safety Committee to define and manage projects associated with business workflow.

Leadership:

  • Operational oversite of Preventive Maintenance Planner inclusive of scheduling, expectation setting, payroll, coaching, developmental goal setting, and performance evaluations.

  • Lead administrative support staff and associated Applications team members on related projects and process development specific to scheduling and planning of preventive maintenance.

  • Develop strategy to align ongoing and future Maximo CMMS efforts.

  • Point person for any projects related to the scheduling/planning of work process with routine reporting to leadership.

  • Guide leadership and field team members with scheduling/planning needs by Area

  • Routine coordination of work scheduling/planning with Facility Operations Managers, Facility Managers, Customers, and other key stake holders.

  • Develop process and procedure associated with Maintenance scheduling/planning.

  • Conduct training with team members to align process expectations and CMMS use.

Required Qualifications*

  • Bachelor's Degree or equivalent minimum (preferably with continuing education in a technical realm), college degree in Engineering, Facilities Management, Computer Information Systems, or other technical area a plus.

  • Technical/administrative leadership experience with a group between 1 - 5 team members.

  • 3+ years scheduling/coordinating in a highly technical environment.

  • Prior experience leading projects in a technical environment.

  • Basic familiarity with mechanical, electrical, plumbing, architectural disciplines.

  • Ability to read and interpret mechanical, electrical, structural, and plumbing drawings a plus.

  • Strong organizational and prioritization skills.

  • Highly self-motivated.

  • Exceptional communicator in all mediums.

  • Proficient with Microsoft suite and other software systems.

  • Experience with CMMS programs (Maximo specifically a plus) or other complex computerized database type systems.

  • PMP certification achieved or associated learning in progress.

Background Screening
