Description:

Position Summary: Performs clerical support duties for the Health Information Department (HIM), including retrieval of medical records or other data. Performs analysis of medical records for completeness and identifies deficiencies. Completes the prepping and/or scanning procedures for document imaging. Provides general office coverage including answering phones and responding to requests for information from internal and external customers. Assists in orientation and training of new associates.

Performs document imaging tasks, including preparation and assembly. Ensures that quality of scanned images are accurate and of good quality. Responds to health records requests pertaining to treatment, payment or operations in accordance with federal and state regulations.

Analyzes medical records for completeness and identifies deficiencies. Completes monitoring and auditing of medical records documentation according to defined criteria.

Contacts medical staff and other allied health professionals regarding completion of medical record deficiencies.

Distributes medical record reports to providers as needed.

Assists in development and implementation of improved workflow processes. Suggests ways to continually improve quality, productivity, expenses and work processes.

Responds quickly and positively to requests, suggestions and needs while exhibiting a professional manner. Maintains good rapport and cooperative relationships.

Approaches conflict in a constructive manner.

Helps to identify problems, offer solutions, and participates in their resolution. Maintains the confidentiality of information acquired pertaining to patient, physicians, employees, and visitors.

Discusses patient and hospital information only among appropriate personnel in appropriately private places.

Maintains knowledge to perform the duties of the job. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.

Demonstrates self-directed learning.

Conducts all activities in accordance with the Mission, Vision and Values of St. Joseph Mercy Chelsea/Trinity Health System.

Identifies and assists in resolution of problems related to safety, sanitation and maintenance of the environment.

Required Education, Experience and Certification/Licensure

Minimum high school education, knowledge of medical terminology is required.

Minimum of 2- 3 years' experience in a medical records department or office setting in an

acute care hospital is required.

Ability to demonstrate a commitment to customer service.

Required Skills and Abilities

Demonstrated ability to use a standard desktop and windows-based computer system, including a basic understanding of email, internet, and computer navigation. Ability to use other software as required to perform the essential functions on the job. Demonstrated ability to use office equipment, including a basic understanding of photocopiers, fax machines, printers, and multi-line telephones. Ability to use other equipment as required to perform the essential functions on the job. Must be comfortable operating in a collaborative, shared leadership environment. Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of Trinity Health. Accurate typing and data entry skills.
