Summary

The Lead Project Manager will lead, coordinate, and manage the wide variety of hospital operations and patient care related projects occurring at any given time by working with respective Associate Level Hospital Triad segment leaders (Associate Hospital Director, Associate Chief Nursing Officer, and Associate Chief Medical Officer) for Adult Hospitals' Medical Services which includes Emergency, Psychiatry and Acute Medical Inpatient Services. These projects support improvements in operations that include (but are not limited to) to key initiatives connected to the health system priorities and goals; patient flow and throughput; facilitation of departmental and unit-based dyad proposals; facilitating the review of programmatic utilization of resources (space, capital, and human resources); support implementation of clinical activity strategic growth plans; operating and capital budgets support; facilitating scientific problem-solving efforts including root cause analysis; value stream mapping; addressing safety issues; facility project planning; and other requests as directed by the subsegment triad leaders.

Efforts include the independent gathering of information and pertinent facts, meeting with stakeholders, documenting findings and assumptions, tracking progress and metrics, and appropriately prioritizing work efforts related to safety, regulatory and compliance, along with understanding and facilitating operational needs in conjunction with overall sub-segment leadership goals and ensuring areas of competing priorities, potential duplication are identified and resolved across the multiple projects; while improving patient and staff experience and operational efficiency.

Supervision Received

This position is a member of the Adult Hospitals? Medical Services Associate Level triad team. This role reports directly to the sub-segment triad Associate Chief Operating Officer with functional supervision provided by the Associate Chief Nursing Officer and Associate Chief Clinical Officer.

Supervision may be exercised over students and summer interns or others as designated.

Responsibilities*

  • As a member of the adult hospitals? operations teams this role will translate segment and goals via direction from segment and sub-segment leadership into improved outcomes, future value streams, and enhanced processes.This position will assist in the oversight and facilitation of work that results from this translation.

  • Interact with leaders at all levels as well as clinical staff, continuous improvement colleagues, and team members to accomplish the goals of the clinical enterprise.

  • Identify potential gaps to hardwire process and system improvements ensuring quality, safety and value are consistently delivered.

  • Partner with operational team members across segments (UH/CVC, C&W, Ambulatory Care and Shared Services) as necessary to achieve respective segment goals.

  • Provide administrative support to the Adult Hospitals? Associate Level Triad Medical Services Team in data presentation and review; prepare reports and staff key committees.

  • Manage and report operational data with a detailed understanding of data sources and measurement methodologies; display and present data that are appropriate for understanding by end-users.

  • Present information objectively with a balanced perspective to best reflect strengths and opportunities to enable discussion and analysis for leaderships? understanding of respective issues and potential solutions.

  • Perform and maintain necessary analyses related to current state performance across the continuum for assessment by operational leaders in working to achieve established targets. This includes engaging operations leaders in the assessment, developing/creating new tools/resources, supporting process improvement and/or initiatives, maintaining systems for monitoring and the evaluation of improvement initiatives while balancing capabilities and constraints within the system.

  • Mentor process owners regarding project management and continuous improvement at the unit/ department level, for successful execution and conclusion of projects and initiatives.

  • Serve as a partner to facilitate work that needs to occur across segments (i.e. Ambulatory Care/UMMG/ C&W/Shared Services) with a focus on collaboration and relationship building.

  • Assess team readiness for change and assist with deploying change management tactics to ensure success.

Required Qualifications*

  • Master's degree in health services administration, nursing, business administration, industrial engineering or an equivalent combination of education and experience.

  • Progressive project management experience with a minimum of 5 years of experience, preferably in healthcare.

  • Demonstrated expertise in project management with excellent time management, communication, and relationship building skills.

  • Proven experience managing projects in a complex highly matrixed organizations, utilizing influencing strategies to facilitate decisions.

  • Excellent interpersonal, written, and verbal communication skills.

  • Demonstrated commitment to service excellence.

  • Ability to prioritize efforts to ensure timely execution of work products.

  • Exceptional organizational and computer skills with proficiency in Microsoft software applications, analytics, and reporting.

  • Structured problem-solving ability utilizing myriad of analytical approaches.

Desired Qualifications*

  • Master's degree in a related public health field directly related to the duties of the position.

  • Progressive leadership experience in healthcare with project management experience in understanding clinical work and workflows.

  • Proven success leading senior/executive level projects aligned to organization priorities, including the design and execution of complex work.

  • Demonstrated commitment to the creation of the ideal patient care experience.

  • Demonstrated knowledge of inpatient clinical operations and the understanding of healthcare disease processes, terminology, and procedures.

  • Experience facilitating executive-level teams.
