Summary

The Asset Supervisor's primary function is to coordinate and supervise the daily work of employees performing maintenance and repair activities in the Asset Supervisor's assigned campus buildings. The Asset Supervisor is responsible for the proper maintenance of electrical, plumbing, mechanical systems, and more, in a cluster of buildings in a Maintenance Region. The Asset Supervisor oversees the personnel completing tasks in the buildings under his/her authority. The Asset Supervisor is a primary Maintenance contact with building Facility Managers, as well as building occupants. Asset Supervisors oversee maintenance activities and ensure they are performed within departmental business rules and up to departmental standards for quality.

Responsibilities*

Communicate the daily schedule to maintenance & craft personnel at the start of the shift, making clear what is expected to be done, how long it should take, and the sequence in which it should be worked.

Ensure maintenance personnel complete scheduled work or emergency work as assigned.

Monitor progress throughout the shift ensuring jobs are completed on time.

Making job checks during the course of the shift, identifying variance issues at that time and taking corrective action as needed.

Triage work orders to ensure proper shop and personnel assignment, including ensuring that non maintenance work is routed to the correct service provider in Facilities and Operations.

Follow contractual and University procedures, address issues of poor performance in a timely manner taking the appropriate action to resolve problems.

Ensure work order information provided by hourly maintenance staff is complete, accurate and in line with department expectations.

Employees provide this information daily upon work order close out and follow up in UM's Computerized Maintenance Management System (AiM).

Partner effectively with university O&M Engineers to resolve maintenance and repair needs as needed. Implement projects improving equipment reliability and lengthen the time between failures.

Work with the Region Manager to identify, develop and address mechanic & craft training requirements.

Review the backlog each week prior to the Weekly Scheduling meeting. Identify work to be performed in the following week's Weekly Schedule.

Participate in the Weekly Scheduling meeting by reviewing the required PM's and indicating the additional items required to be worked the next week.

Ensure overtime is minimized, effective when needed, and is worked according to overtime policy and labor contract requirements.

Ensure all jobs are safely released and all work is done in accordance with the University's safety rules.

Ensure proper housekeeping standards are maintained during and immediately after the completion of jobs

Ensure material ordering follows University practices, utilizing best value vendors/delivery methods.

Attend operationally required meetings on time, contributing proactively

The Asset Supervisor will ensure position coverage when absent. The fill-in designee shall be briefed and completely prepared for coverage period activities.

Accountability

Among the attributes that determine an Asset Supervisor's successful performance are the following key measures:

  1. Weekly Service Completion (work order completion in week scheduled)

  2. Preventive Maintenance completion rate

  3. Employee engagement and productivity

  4. Turn-around time on work orders

Required Qualifications*

Working knowledge of maintenance/crafts classifications and functions

Prior use and interpretation of maintenance or facility maintenance union contracts and vendor contracts applicable to task assignments and scheduling efficiencies

Ability to effectively communicate with maintenance staff and customers

Demonstrated proficient use of various computer programs including and/or equivalent to Microsoft Office (especially Excel) Crystal Reports and Computerized Maintenance Management Systems (AiM is UM system)

Ability to lead and work within a teamwork structure

Willingness to support the prescribed work management planning and scheduling processes

Ability to provide feedback on the work management process and flexibility with respect to changes in those processes

Effective written and oral communications skills and meeting leadership and presentation abilities Ability to coach and mentor maintenance/craft personnel

Ability to function effectively in a high pressure environment

Knowledge of the materials, equipment and techniques used in maintenance and repair

Desired Qualifications*

Associates Degree, or ideally BS/equivalent four year college accredited degree in related facilities field, i.e. Engineering , Facilities Management, Project Management, etc.

Experience in large complex organizations with a progressively responsible career path within facility management

Minimum three years experience in supervision with proven ability to coordinate multiple demands in a fast paced service or production environment

Minimum one year experience in a lean management environment

Working knowledge/experience in the electrical or plumbing trades

Work Schedule

Schedule is: Monday - Friday, 7am - 3:30pm

Please note: Due to the nature of this supervisory position, the candidate will need to be available after hours to attend customer or departmental meetings and respond to emergencies as needed.
