Job Responsibilities:

This position supervises and manages the operational day-to-day activities for Office and Client Services (producer support) activities on a local and/or multi-market basis. Will partner closely with Business Operations (P&L), Human Resources, Digital & Technology, Research, Marketing, and Facilities. In partnership with local or regional senior management, implements strategic vision. Assures implementation of national operational strategies and coordinates efforts to integrate company services for clients, both internally and externally. Responsible for management of one or more markets. May manage and accomplish work through other Operations Managers and/or Supervisors.

What You'll Do:

  • Partners closely with local and regional market leader(s) and shared services leader(s) to drive efficient and strategic operations of one or more markets. Drives continuous review and improvement of processes; Resolves conflict and conflicting priorities, sets achievable goals that are linked to the objectives of the organization; makes recommendations on budgets.

  • Responsible for managing initiatives and teams supporting office services in a local office or multiple markets. Activities include concierge/reception, facilities, supplies, equipment, vendor relationships, special events, philanthropy, sustainability, and business continuity plans. Partners with appropriate Shared Services teams to design, influence and implement regional or national initiatives related to these areas.

  • Responsible for planning and managing facilities project(s) to include ongoing maintenance work, transitions, relocations and new construction projects. Works with construction and project management team(s) on project timelines. May assist with facility's needs including maintenance and building access for all lines of business. Acts as liaison between offices and building management.

  • Responsible for managing a wide range of employment activities for an office and/or multiple markets including recruitment, selection, on-boarding/new hire orientation, training, performance management and terminations. Partners with Human Resources as appropriate. Provides guidance and advice to managers/supervisors within span of control regarding employee performance, talent strategy, employee terminations and employee relations.

  • Responsible for managing team that oversees client services in one or more markets. Activities may include include: motivating and directing personnel, setting performance standards and addressing deficiencies when identified.

  • Partners with local or Regional Marketing Manager and regional/corporate marketing and communications as needed to ensure effective marketing service delivery, business promotion, advertisement and public relations.

  • Partners with Business Operations leadership to drive appropriate controls and reporting. May support key accounting and finance activities including expense allowances, revenue transactions, forecasting and budgeting. Partners with division finance and corporate finance as needed. May be responsible for local P&L oversight.

  • Responsible for the Real Estate and Business licensing processes to ensure full compliance with state and local licensing requirements.

  • Partners with D&T locally and nationally to assesses technology needs and drive appropriate investment, training and adoption. Partners with Corporate D&T to confirm roadmap and strategy and ensure the technology needs of offices are met.

  • Other duties may be assigned.

Supervisory Responsibilities:

Manages and accomplishes work through supervisors, managers and employees within multiple functional or operational areas. Approves recommendations of direct reports for staff recruitment, selection, promotion, advancement, corrective action and termination. Effectively recommends same for direct reports to next level management for review and approval. Plans and monitors appropriate staffing levels and utilization of labor, including overtime, and allocation of resources. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.

Bachelor's degree (BA/BS)required. Minimum of 8 years of related experience including 6 years of IT management experience; or equivalent combination of education and experience. Require experience managing office operations in a customer-focused service firm with multi-location structure. Knowledge of real estate terminology preferred.

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to internal and external clients. Ability to effectively present information. Ability to respond effectively to sensitive issues.

Requires advanced knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts intermediate financial analysis.

Ability to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.

High level of proficiency in Microsoft Office suite and other software. Ability to travel.

Scope of Responsibility:

Decisions made with in-depth understanding and interpretation of procedures, company policies and business practices to achieve general results. Responsible for setting department deadlines. Errors in judgment may cause long-term impact to co-workers, supervisor, department and/or line of business.
