As the Records Administrator, you will provide support to Shell Canada Business clients to ensure that the integrity of business physical records is maintained (file integrity, records management system, retention) and disposition takes place in accordance with Group Records Management (GRM) Standards and Guidelines. As a valued member of the Records and Information Management Services (RIMS) team; you will take responsibility for providing centralized and decentralized Records Management Services to Shell Canada Businesses. Note – this position is based at the Shell Record Center in Calgary.

Accountabilities:

  • Physical Records Management, including but not limited to system maintenance, retention, and disposition

  • Ensure proper custody of Real Estate Records Management

  • Management of RIMS Mailbox

  • Assist Canadian Businesses and Functions with their offsite storage

  • Conduct extensive searches for Shell Businesses and Legal

  • Handle confidential records and topic-sensitive information associated with data privacy

  • Work with a diverse network and individuals across all levels of the organization/geography

  • Detail-oriented, flexible, curious, courageous, and self-driven while providing coverage on existing GRM compliance responsibilities

  • Ensure individuals work to protect the disposition of information and records and successfully deliver results against externally set targets (i.e. court-mandated deadlines)

  • Conduct extensive searches when unidentified records are discovered to determine ownership, proper classification, and appropriate storage facility

  • Problem-solve when conducting business or legal searches if records do not have a valid location due to invalid entries by end users

Skills & Requirements

What we need from you:

  • Minimum 2 years of Records Management experience

  • Expert ability to search IT applications

  • High School Diploma

  • Efficient in MS Office Package

  • Experience in TRIM, PRM, SharePoint, and other Records Management applications is an asset

  • Knowledge of Physical Records Management

  • Records Management practices including the areas of e-Discovery, Information Management, Electronic Records Management, Physical Records Management, Information Risk Management, Intellectual Property, and Data Privacy

  • Organizational/Filing/Data entry

  • Ability to lift and handle boxes of up to 30lbs

  • Must have legal authorization to work in Canada on a full-time basis for anyone other than the current employer
