Your Specific Responsibilities:

This is a professional position in the Division's Performance Management (PM) Unit. The employee must have the ability to honor and protect confidential information and assist management in the coordination of personnel and other administrative tasks and assignments that are complex. The employee in this position assists with various personnel liaison functions and assignments for the division and its bureaus The employee must maintain a broad knowledge of personnel and human resource laws, policies and procedures and the bureaus and division’s various operational and programmatic functions and activities.

Work with leadership and supervisors to create various FLHealthDesk tickets to ensure required documents comply and uploaded for approval. Work with supervisors as requested in reviewing, creating, modifying, and submitting requisitions in People First Talent Management – schedule background checks. Coordinate tickets with liaisons’ responsibilities on the department HR intranet website. Works with the division budget staff to ensure fiscal codes’ funding sources are correct. Track program tickets in the FLHealthDesk System to ensure there are no delays. Tickets must be moved within two (2) days of each step before reaching department HR staff. Ensure new hire forms are completed within three (3) business days of hire. Meet with new staff in Jacksonville on the first and last day to ensure all required forms via hardcopy or FLHealthDesk are completed. Perform exit interview to retrieve IT equipment, phone, and Pcard upon separation.

Update weekly Liaison status tickets report. Provides technical assistance to supervisors related to the People First and FLHealthDesk Systems. Work with the supervisor to ensure assigned program evaluations are approved in a timely manner. Completes required department-related training and maintains knowledge of State, Department, and Division personnel and human resources laws, rules, regulations, policies, and procedures. Provides orientation for newly hired employees within 5 working days of arrival, including training on using People First System and the FLHealthDesk HR System.

Assists supervisors and staff related to sick leave donation, Family Medical Leave Act, and the Family Supported Work Program and submit documentation to PM Unit Supervisor to forward to the Bureau of Personnel and Human Resource Management (P&HRM) bylaws, policies, and procedures. Participates in the Bureau of P&HRM conference calls to obtain information concerning personnel changes (law, policies, procedures, and systems) and ensure division staff receive information. Participates in the Division’s HR Team Meeting scheduled.

Assists staff with preparing Qualified Status Changes related to Pre-tax insurance program, reclassifications, demotions, etc. In concert with the Bureau of P&HRM, prepares necessary paperwork and guides as needed. Works with the supervisors and staff to coordinate the completion of all workers’ compensation claims and provides follow-up information to the Bureau of P&HRM’s Workers’ Compensation Coordinator. Works with the Division’s Safety Coordinator to complete the Supervisors Accident Investigation Report for further evaluation and investigation as appropriate.

Performs other related duties as required.

Required Knowledge, Skills, and Abilities:

Knowledge of the basic principles of personnel administration, laws, policies, and procedures (two years preferred).

Knowledge of personnel functions such as recruitment, classification and pay, employee benefits, and labor relations (Preferred at least two years in recruitment and selection and classification and pay).

Ability to work independently.

Ability to understand and apply applicable rules, regulations. policies, and procedures related to personnel program functions.

Ability to analyze and prepare reports relating to personnel program functions.

Ability to plan, organize, and coordinate work assignments.

Ability to communicate effectively verbally and in writing.

Ability to honor and maintain confidential employee medical and other personnel-related records.

Knowledge, skills, and abilities using Microsoft Office Products (Word, Excel, PowerPoint, Visio, Outlook, SharePoint).

Qualifications:

Minimum - High School Diploma or Equivalent 2 years of experience with Cherwell and People First systems.
