SUMMARY: The Program Assistant will assist the Mental Health Program Manager in the coordination and delivery of services, coordinating communications, assisting in the organization of all reports, grants and budgets. The goal will be to help facilitate the effective management of the program according to the organization’s standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Apply good knowledge of office routines and procedures, as well as the knowledge of the organization and programs directed by the supervisor.
Support planning and coordination of a program and its activities
Ensure implementation of policies and practices
Preparing documentation for grants
Managing online resources
Managing the Program Manager’s calendar
Attending staff meetings and taking minutes
Responding to emails and answering calls
Typing letters and reports as may be required from time to time
Compiling and sending bulk mailings
Proofreading and making copies of documents
Assisting in the planning and overseeing significant events
Assisting in managing the budget for special and routine events
Making reservations for various off-site business meetings
Acting as a liaison between different departments
Relaying internal emails to staff
Reserving equipment and conference rooms for presentations and in-office meetings
Gather statistical information to analyze and prepare presentation for team members, funding agencies, director and/or EDO.
SUPERVISORY RESPONSIBILITIES: There are no supervisor requirements for this position.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must have some knowledge of medical/clinical terminology, be able to perform duties without supervision; and have an understanding of Mental Health.
EDUCATION and/or EXPERIENCE: Minimum – High School graduate, a minimum of two years of office and secretarial work or demonstrated competence. Preferred – Associates or higher in Social/Health/Business related field. Mohawk language an asset.
OTHER SKILLS and ABILITIES: Strong oral and written communication skills required. Must have good computer skills including, MS Office, and ability to navigate various scheduling and electronic health record programs. Computer testing in the applicable skills may be a requirement during the interview process. Grant writing, budgeting, bookkeeping and reporting skills.
