Joni and Friends Senior Coordinator, Programs in Agoura Hills, California
Duties:
Under the supervision of the Programs Director, support the overall objectives of Joni and Friends’ Global Operations department. Perform duties and responsibilities including, but not limited to:
Assist in overseeing Programs operations
Distribute available resources and materials to program stakeholders
Collaborate with the team to develop standardized resources and training materials
Track and process inquiries related to Programs, ensuring timely responses and resolutions
Provide Ongoing Support to Program Stakeholders
Collect feedback from stakeholders regarding program effectiveness and areas for improvement
Provide effective communication to Joni and Friends departments regarding the overall strategic objectives of Programs
Attend events and program activities to provide support and ensure smooth operations as needed
Offer encouragement, guidance, and mentorship to Event Managers and other stakeholders involved in program execution
Coordinate Programs Administrative Responsibilities
Perform administrative tasks, including scheduling, file management, and other duties as assigned to support Programs team
Prepare and complete check requests and maintain appropriate financial records
Collaborate with other departments and external contractors to complete and track orders, process requests, and updates to resources and materials
Digital Platform Administration
Maintain content and updates within Client Relationship Management (CRM) system, Point of Sale system, compliance tracking platforms to ensure accuracy and efficiency
Provide clarifications on system protocols for program management, registration concerns, and portal access points through support tickets and support calls
Update templates, descriptions, and record keeping conventions
Administrate Compliance and Insurance Documentation
Receive, review, and process various insurance requests to ensure accuracy
Partner with insurance providers to obtain necessary documentation
Monitor background check records for program applicants, escalate findings, and update system of records accordingly
Inventory Tracking and Merchandise Ordering
Prepare and complete purchase orders accurately and in a timely manner. Verify pricing, quantities, and terms to ensure alignment with contractual agreements and budgetary constraints
Coordinate with relevant departments to determine inventory needs and ensure timely fulfillment of orders. Monitor order status and proactively address any issues or delays
Collaborate with vendors on product development initiatives, including design specifications and quality standards. Coordinate product sampling, testing, and evaluation processes to ensure compliance with Joni and Friends requirements
Other duties and projects as assigned by supervisor to support department and organizational needs
Qualifications:
Must possess a vibrant personal relationship with Jesus Christ and agree with the Joni and Friends statement of faith
Desire to serve in a growing and dynamic Christian service ministry
Bachelor’s Degree or 3 years of relevant experience required
Great verbal and written communication skills
Able to effectively organize and prioritize a wide range of daily tasks with varied deadlines
Must be committed to accuracy, a team player, and a self-starter who is flexible and able to work independently
Understand the importance of confidentiality
Strong general computer skills are necessary along with a competent, working knowledge of Windows, Microsoft Excel, Microsoft Word, Microsoft Outlook and the Internet
Understanding of Christian ministry and specifically Joni and Friends is desirable
Compensation is $23.00-$24.00 per hour. This is a hybrid position, in the office Monday, Tuesday, and Thursday, remote Wednesday and Friday.
