TheProcurement Department assists internal Council units to purchase goods and services needed to conduct Council business. In carrying out this purpose, the department complies with Council policies and procedures, laws of federal, state, and local governments, and requirements of grants the Council receives.

How your work would contribute to our organization and the Twin Cities region:

TheAssociate Contract Administrator - Vendor Specialist will be responsible for verification, maintenance, and data entry of vendor master information for the Procurement Department. This position will also be responsible for drafting, reviewing, and executing amendments to contracts and other procurement-related documents.

What you would do in this job

  • Enter, validate, and maintain vendor data. Conduct research independent of gathered data to confirm the accuracy and validity of the data.

  • Input and edit data in various computer systems.

  • Communicate with vendors and internal Council staff regarding vendor requests and vendor data.

  • Create reports on one-time and employee vendor requests for leadership.

  • Assist with other data management and department reporting.

  • Assist with business process systems integration (BPSI) computer system implementation.

  • Draft, review, and execute contract amendments and assignments, and related record keeping.

  • Perform other related duties as assigned.

What education and experience are required for this job (minimum qualifications)

Any of the following combinations of completed education (in finance, business, or a related field) and experience (in vendor data maintenance, accounts payable, purchasing or inventory management):

  • Bachelor's degree or higher with two years of experience

  • Associate degree with four years of experience

  • High school diploma/GED with six years of experience

What additional skills and experience would be helpful in this job (desired qualifications):

  • Experience working directly with vendors.

  • Experience with Tax Identification Number matching.

  • Experience adding and modifying vendor profiles in a PeopleSoft-based system.

  • Experience reviewing and updating vendor W9 and Automated Clearing House (ACH) forms.

  • Experience using Work and Asset Management (WAM) and TXbase systems.

  • Experience with contract documents (e.g. contract amendments, assignment agreements, notices to proceed, etc.).

  • Experience with multiple types of contracts (e.g. architectural and engineering (A/E), construction, goods, services, etc.).

  • Experience reading, analyzing, and interpreting contract terms and conditions.

  • Experience working and collaborating in diverse, multicultural, and inclusive environments.

What knowledge, skills and abilities you should have within the first six months on the job:

  • Knowledge of vendor maintenance, purchasing, accounting, or inventory management systems and processes.

  • Knowledge of 1099 reporting requirements.

  • Strong written, verbal and interpersonal communication skills.

  • Strong data entry skills.

  • Computer skills including spreadsheets, databases, and word processing.

  • Critical thinking and problem-solving skills.

  • Detail oriented with strong organizational and prioritization skills.

  • Ability to work independently and make independent decisions within provided parameters.

  • Ability to handle confidential information appropriately.

You would perform your work in a standard office setting. Work may sometimes require travel between your primary work site and other sites.
