The Institute for Protein Design (IPD) at the University of Washington in Seattle is creating a new world of synthetic proteins to address 21st-century challenges in medicine, energy, and technology. The IPD is a unique interdisciplinary environment where world-class researchers with expertise in computing and software, biochemistry, genome sciences, biological structure, pharmacology, immunology and other basic science disciplines, as well as clinical medicine, work together to both computationally design and experimentally characterize novel biomolecules. Current projects include the design of novel therapeutics for cancer, neurological diseases, and more, as well as new vaccines, nanomaterials, and enzymes. For more detailed information about the Institute for Protein Design please see www.ipd.uw.edu POSITION PURPOSE In this position, Administrative Assistant 2, you will be responsible for providing administrative support in all areas of administration at the Institute Protein Design including but not limited to, Operations, Finance, Education, and Process Development. The ideal candidate will support the Institute’s EA and the Baker EA to support administrative team tasks as described below.
DUTIES AND RESPONSIBILITIES Reimbursements
stay up to date on UW policies regarding reimbursement
main point of communication for persons who need reimbursement
process IPD reimbursements for travel, RosettaCon, visa fees etc.Letters of Recommendation
Work directly with Baker Lab Executive Assistant to track and collect recommendation letters for graduate school, postdoctoral fellowship, and faculty position applications
Communicate with multiple stakeholders to submit recommendation letters and other requested materials in timely mannerEvent Support
Arrange catering, parking, and room reservation for specific IPD meetings
Escort visitors/guests to various IPD sites, set up and clean up meetings
Set up A/V equipment as needed to support IPD events and meetingsAdmin tasks
Coordinate and order weekly administrative lunches
Order and organize snack deliveries
Order banquet permits for IPD related happy hours and events
Track seminars and enter into MyIPD portal for Institute-wide notification
Work with undergraduate student assistant on admin-specific projectsOther duties and tasks as assigned. MINIMUM REQUIREMENTS Requires High School/GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.
