DESCRIPTION/RESPONSIBILITIES: Job Summary  * Provides general administrative support to MPZ, and Crystal Growth p roduction groups including business manager, department managers, e ngineering, staff and production supervisors.  * To provide general departmental purchasing support.  * To provide documentation services for all departmental operating procedures and policies per standardized manufacturing format.  * Provides departmental Quality Assurance documentation, procedure, and system support.

Primary Duties & Responsibilities General  * Assist with daily administrative activities as needs arise within department(s).  * Support manager, supervisors, and engineers in all projects and activities as required.  * Provide timely reports and presentations utilizing Microsoft Office Applications.

Time & Attendance  * Attendance of department members are tracked daily through Kronos and issues resolved with supervisors to support payroll schedules.  * Operator schedules are updated in Kronos.  * Maintain department attendance points and distribute to supervisors on a weekly basis.  * Maintain up to date shop visible PTO calendar.  * Support timecard error resolution, entries, and holiday pay adjustments.  * Track and maintain department IP documentation including new employees.  * Maintain and post department schedules each month, support maintaining accurate organizational charts.

Purchasing  * Assist personnel with requests to order supplies to support production and project, and coordinate orders with purchasing.  * Record purchasing card transactions in Concur and complete monthly expense report.  * Manage department users in the corporate Amazon account.  * Support Vendor Managed Inventory systems as needed.

Production/Safety  * Manage Operating Procedure tracking to support compliance with Process Safety Management regulations.  * Generate production reports, support HIP documentation, scrubber stack testing documentation and ensure documents are stored electronically for historical reference.  * Support PSM documentation and document management as needed.  * Maintain department safety shoe list, including specific requirements for each employee and support ordering as required.

Quality Assurance  * Maintain QA document list and revisions.  * Maintain department training records.

Education & Experience  * High School Graduate or Equivalent required. 2-year associate degree preferred.  * 3 to 5 years in a Business/Administrative position with experience preparing reports and presentations.  * Kronos and SAP experience is preferred.

Skills & Other Requirements  * Microsoft Office Platform  * Good verbal and written communication skills  * SAP experience preferred.  * Kronos experience preferred.  * Exposure to ITAR information  * Regulatory/ISO 9001 compliance experience preferred.

Working Conditions  * Primarily office work environment.  * Daily interaction on the shop floor, must meet PPE requirements.

Physical Requirements  * Standing (2 hours per day)  * Lifting (20 lbs.)  * Pushing/Pulling (30 lbs.)  * Sitting (6 hours per day)

Safety Requirements All employees are required to follow the site EHS procedures and COHERENT Corporate EHS standards.

Quality and Environmental Responsibilities Depending on location, this position may be responsible for the execution and maintenance of the ISO 9000, 9001, 14001 and/or other applicable standards that may apply to the relevant roles and responsibilities within the Quality Management System and Environmental Management System.
