Paralegal Hybrid - Candidates residing in WA, OR, or SoCal are encouraged to apply.

This position will provide professional legal support to the Department of Legal Affairs (“DLA”) attorneys generally and/or in a specific practice area or across practice areas. This position will be responsible for the coordination, provision, and completion of various legal support tasks as outlined below or requested by a supervising attorney in support of Providence St. Joseph Health’s various operations within its operating footprint.

The Paralegal should enjoy a fast-paced environment and have a focus on the accurate and timely completion of legal tasks. This position will work in two practice areas, Litigation and Labor & Employment supporting employment related litigation and will interact frequently with internal and external clients, outside counsel, third party vendors and business associates.

Essential Functions

General Paralegal Responsibilities

  1. Maintains the strictest confidentiality, trustworthiness and integrity at all times.

  2. Understands ABA Model rule 5.3 and how it applies to a Paralegal. Actively avoids the unauthorized practice of law.

  3. Enhance own professional growth and development through participation in educational programs, review of current literature, in-service meetings, and DLA-organized CLE offerings.

  4. Monitor and assist with all aspects of projects or legal matters including, but not limited to, transactions, investigations, and litigation.

  5. At direction of attorney actively takes part in creating, tracking and managing ongoing matters and prioritizing the same.

  6. Requests needed documentation and information from business partners at direction of attorney or in-line with practice group standards.

  7. Identifies issues consistent with experience such that the attorney can focus her/his attention on providing legal advice and counsel to business partners.

  8. As requested, act as first line reviewer of legal invoices.

  9. Become familiar with and able to independently utilize Legal Tracker, iManage and various other platforms and document management systems used by DLA.

  10. May field calls from outside counsel and business partners when requested by the DLA attorney (or when said attorney is not available), as appropriate.

  11. Communicate directly and through correspondence with high level internal and external customers.

  12. Assemble necessary materials for meetings and presentations as needed.

  13. May train new team members on systems.

  14. Consistent with DLA’s protocols, simple contract drafting and review.

  15. Assists with drafting and managing various DLA forms and policies.

  16. Compose, edit, and proofread a variety of correspondence, memos, presentations and materials, and directly handle within the assigned scope of authority, knowledge and understanding of activity.

  17. Consistent with DLA’s protocols, draft position statements, pleadings, subpoenas, declarations, attestations, and other legal documents as directed.

  18. Participate in document review as necessary to support various legal matters.

  19. As requested, review existing DLA documents/database to determine if preexisting analysis or other work product is available to address a current legal request.

  20. Completes simple legal research as requested by attorney, including Internet and other forms of computerized research.

  21. Assist in maintaining DLA’s website to include keeping model documents and other content located therein current.

  22. Assists with the collection of Providence St. Joseph Health (Providence) regional/local information as necessary for various purposes including to update/reflect any changes/revisions thereto for DLA.

  23. Special Projects as assigned.

Practice Area Specific Responsibilities

Litigation

  1. Assist with the factual development and analysis of cases at direction of lead attorney, including coordination with the relevant business teams, gathering, organizing, documents for review and analysis.

  2. Assists with the preparation of early case assessments and preliminary task recommendations.

  3. Case schedule calendaring (coordinating with an EA); docketing of deadlines.

  4. Enter timely status updates in DLA’s matter management system (Legal Tracker), ensure the matter record is complete and accurate, and ensure all documents are filed to the appropriate matter using DLA’s document management system (iManage).

  5. Assists outside counsel on matter management.

  6. Assists with drafting correspondence, status updates, tender letters, and certain pleadings.

  7. Assists with investigations, including identifying and locating witnesses, and subject matter experts.

  8. May assist with training new team members.

  9. Assists with gathering information to facilitate and implement legal holds.

  10. Assist with eDiscovery, including familiarity with eDiscovery phases, activities, and workflow.

  11. Assists with subpoena responses.

  12. As requested, navigate court dockets and identify relevant rules of civil procedure.

  13. Review and suggest revisions to legal pleadings, briefs, and memoranda prior to filing and/or distribution.

  14. May review and summarize depositions, interrogatories and testimony and assist with document collection and review and written discovery process.

Labor & Employment

  1. Takes part in the Legal Hold life cycle from implementation to release and facilitate e-Discovery in partnership with Information Services.

  2. Assists with responses to requests for additional information from opposing parties.

  3. Docket, monitor and ensure all case deadlines are met. Facilitate negotiation of extension as needed.

  4. Enter timely status updates in DLA’s matter management system (Legal Tracker), ensure the matter record is complete and accurate, and ensure all documents are filed to the appropriate matter using DLA’s document management system (iManage).

  5. At direction of lead attorney, works directly with outside counsel on matter management.

  6. Assists with drafting responses to discrimination complaints (Title VII, ADA, ADEA and state laws), unfair labor practice complaints and demand letters. Proofs attorney work-product for clarity, grammar, narrative flow. Update responses to reflect final attorney edits, finalize and prepare and redact exhibits as needed, and file responses with requesting agency or party.

  7. Reviews personnel and pay files for production to ensure proper redactions have been implemented per department protocol.

  8. May assist with drafting mediation briefs and preparing exhibits.

  9. Review pleadings, supporting declarations and other documents as needed.

  10. Drafts various employment related settlement agreements.

  11. Partner with Risk and Compliance to report claims to applicable insurance carriers and provide status updates upon request.

  12. Monitors investigations into employee claims, demands, charges or complaints before administrative agencies (EEOC, State EEOC equivalents, NLRB, etc) or via demand letters from private attorneys. Facilitates clarification of investigatory direction or needs at the direction of lead attorney.

Required Qualifications:

  • Associate's Degree - ABA-approved Paralegal Studies Program or equivalent combination of education and experience

  • Certificate from a paralegal program at, or a degree from, an accredited secondary institution which requires at least 24 semester units in law-related courses

  • 2 years of Paralegal experience in a relevant practice area with an in-house legal team, or equivalent experience in a law practice setting.

Preferred Qualifications:

  • Bachelor's Degree in Paralegal Studies / Law / Legal Studies

  • Coursework/Training: eDiscovery / Contract Management / Project Management

  • Notary Public upon hire.

  • 2 years of demonstrated experience performing substantive legal work for multiple attorneys in a relevant practice area.

  • 2 years of general understanding/exposure to the health care industry working with large integrated health systems
