Job Summary

The Proposal Assistant will play a pivotal role in the pursuit of excellence in securing new projects and partnerships. The Proposal Assistant will assist with administrative tasks, document version control, and communication between team members.  This role will support the proposal development process from inception to submission. 

Responsibilities and Duties

The Proposal Assistant will:

  • Create technical resumes and project descriptions for use within proposals.

  • Assist with and execute the assembly, printing, and delivery of proposal documents.

  • Maintain/manage data needed for standard qualification forms, to include number, location and staff specialization.

  • Maintain/Manage proposal-related databases and tracking systems to include proposal content library with updated relevant materials.

  • Develop PowerPoint presentations as needed for client meetings.

  • Collaborate with staff in maintaining the CRM database.

  • Research e-bid sites for RFQ/Ps and gather relevant information to share with client development leads and proposal team.

  • Assist with market research to identify potential clients, understand their needs and share relevant information with key stakeholders.

Qualifications and Skills

  • Bachelor’s degree in Business, Marketing, or related field.

  • Strong communication and writing skills, with the ability to articulate complex technical information.

  • Strong graphic design skills.  

  • Previous experience in a similar role within the AEC (Architecture, Engineering, Construction) industry.

  • Excellent organizational skills and attention to detail with the ability to manage multiple projects simultaneously.

  • Proficiency in Adobe Creative Suit Microsoft Office Suite.
