Pay Rate :

$55,000 - $68,000

Multiple factors, including Individual experience, skills and abilities will determine where an employee is ultimately placed in the pay range.

The Job You Will Perform:

Scope:

  • The position supports the planning and delivery of programs and events for the Leadership Institute. The position has primary responsibility for the effective execution of these events and is the key point of contact for all internal and external providers of services

  • The position handles the administrative details of programs and coordinates the associated on-line learning activities.

  • The position provides support for the Talent Management COE and assists in the planning and execution of programs and events for the Diversity/Inclusion and Engagement Forums and Focus Groups

  • The position will provide other department support as needed.

Key Accountabilities:

  • Provide administrative support and coordination of Leadership Institute programs:

  • Site research, site inspections, contract negotiation, event promotion and registration, food and lodging, transportation to/from venues,

  • Research and recommend promotional items and participant recognition events and awards.

  • Coordinate travel plans for program participants

  • Ensure accuracy, timeliness, and performance excellence on all activities.

  • Attendees

  • Create communications that are clear, concise, and reliable. Streamline the registration information to address all questions and concerns about meeting agenda, destination, hotel, and overall expectations.

  • Coordinate and communicate ongoing attendee changes and requests

  • Develop and implement processes to maintain data for registration, housing and transportation of meeting attendees.

  • Anticipate or recognize issues and problem solve. Communicate to all levels as required

  • Maintain LI nomination database process to facilitate ease of nominations by business groups

  • Maintain acceptance and attendance records year over year for tracking purposes

  • Provide administrative support and coordination of the remaining programs:

  • Coordinate all course material administration, scheduling of programs, to include support of training facilitators within the business groups and regions

  • Coordinate program material acquisition, printing, and delivery with external provider

  • On-line learning content and delivery: Set up and coordinate all online learning content

  • Large group events and meetings in support of Leadership Institute and other offerings

  • Manage against the set budget for meetings or events.

  • Develop and implement processes to maintain data for registration, housing and transportation of meeting attendees. Anticipate or recognize challenges and problem solve.

  • Work with on-site event support team to include scheduling, day-to-day logistics, and achieving the event’s goals and objectives.

  • Coordinate post-event evaluation process and recommend improvements as needed.

  • Develop industry skills/knowledge.

  • Build relationships by researching and attending property search firm events, property open houses, etc. seminars.

Key Challenges :

  • Developing and maintaining productive relationships with all levels of IP Leadership and their administrative staffs.

  • Balancing multiple projects and priorities without compromising event success or meeting goals.

  • Expanding a library of best practices to be executed with each event, or shared with others.

  • Working within constraints: budgetary, time, location, weather, attendee or speaker changes, etc.

The Skills You Will Bring:

  • Post High School education preferred

  • Prior meeting planning experience in a corporate environment.

  • Certification as a meeting professional is preferred.

  • Microsoft Office and Teams experience preferred

  • Demonstrate successful interpersonal skills.

  • Demonstrate ability to produce event specifications and attendee documentation, organizational agility, problem-solving skills, & timely decision-making skills.

  • Candidate must be able to work independently with limited guidance.

  • Strong PC skills, including MS Word, PowerPoint, Excel, and SharePoint experience.

  • High degree of professionalism with the ability to relate to all levels of management.

  • Team player who is self-motivated, and able to work independently and make decisions without direct supervision; ability to handle multiple tasks; must be focused on work being accurate, dependable, and punctual

  • Experience with Learning Management System (LMS) desirable –MyLearning

  • Able to handle confidential material
